Booking Terms & Conditions
These Terms govern every booking made with Pan East International Tourism Co. L.L.C. (شركة حول الشرق للسياحة الدولية ذ.م.م), trading as Pan East Tours ("Pan East", "we", "us"), through travel.paneast.org. Our full company details are on our Legal Notice page.
By confirming a booking you accept these Terms on your own behalf and on behalf of everyone travelling in your party.
1. Definitions
You / the Lead Traveller — the person who makes the booking and is responsible for it.
Your party — everyone named on the booking.
Arrangements — the transport, accommodation, guiding, activities, meals and other services set out in your confirmed quotation.
Confirmed quotation — the written document we issue that lists your Arrangements, their dates, the total price and what is and is not included.
2. Our Privacy Policy forms part of these Terms
Our Privacy Policy is incorporated by reference into and forms an integrated part of these Terms. By accepting these Terms you acknowledge and agree that personal data will be collected, used, stored, disclosed and processed in accordance with it.
3. Eligibility
You must be 18 years of age or older, or the age of majority in your country of residence if that is higher, to make a booking. Travellers under 18 are welcome on a booking made and accompanied by a responsible adult.
4. How a booking is made
- You send us an enquiry, or build an itinerary with the trip planner on this website.
- A price shown by the planner or on a tour page is an estimate, not an offer. It is calculated from current published rates and does not reserve anything.
- We reply with a confirmed quotation setting out your Arrangements, the total price and what is included.
- A booking exists only when you accept that quotation in writing and we receive the deposit. Until both have happened, nothing is reserved and prices and availability may change.
5. Payment
- Deposit: 25% of the total price, due on booking.
- Balance: due 30 days before the date of arrival.
- Bookings made fewer than 30 days before arrival are payable in full on booking.
- If the balance is not received by the due date we may treat the booking as cancelled by you and apply the charges in our Cancellation & Refund Policy.
Unless we agree otherwise in writing, prices are in US dollars and all bank charges, card fees and currency-conversion costs on your side are yours.
6. Changes you ask for
We understand that plans move, and we would rather change an itinerary than lose you to a competitor.
- More than 30 days before arrival — you may change dates, hotels, routing or party size as often as you need, free of charge. The price is simply recalculated at the rates applying to the new Arrangements, which may be higher or lower.
- 30 days or fewer before arrival — we will do everything we can, but hotels, transport and activity suppliers apply their own charges at that point. Any such charge is passed on to you at cost, with the supplier's evidence, plus any difference in price. We add no fee of our own.
- A change of the Lead Traveller, or a reduction in party size, may change the per-person price because our pricing depends on the number of travellers sharing transport and rooms.
- A request to move a booking to a date more than 12 months after the original arrival date is treated as a cancellation and a new booking.
7. Changes we have to make, and cancellation by us
Pan East works with independent hotels, camps, guides, drivers and activity operators.
- We may substitute any element of your Arrangements for one of an equivalent or higher standard where a supplier fails, a site closes, weather or road conditions make a route unsafe, or a minimum group size is not met. Where we do, we will tell you as soon as we reasonably can.
- If a substitution materially reduces the standard or content of your Arrangements and you do not accept it, you may cancel that element and we will refund what you paid for it.
- If we cancel your booking for any reason other than your breach of these Terms or a Force Majeure Event, we will refund everything you have paid us for the cancelled Arrangements.
- Force Majeure. We are not liable for any failure or delay caused by events outside our reasonable control, including war, hostilities, civil unrest, terrorism, border closure, government or regulatory action, epidemic, natural disaster, extreme weather, strike, or the failure of transport or utility infrastructure. Where a Force Majeure Event prevents your travel, we will refund all sums we are able to recover from our suppliers and will not retain a margin of our own on the cancelled elements.
8. Price
The total price in your confirmed quotation is fixed once the deposit is received, except for a change in a government-imposed tax, fee or entrance charge, or in the published rate of a site you have asked to visit. We will pass such a change on at cost and give you evidence of it. If it increases your total price by more than 8%, you may cancel and receive a full refund instead of paying it.
9. What you are responsible for
Passports, visas and entry. Every member of your party must hold a passport valid for the period required by the Jordanian authorities and any other country on the itinerary, and must obtain every visa, permit and entry document required. We will tell you what we know about requirements for the nationalities you give us, but entry requirements change and are set by governments, not by us. Checking and meeting them is your responsibility, and we cannot refund a traveller who is refused entry.
Travel insurance. We strongly recommend that every member of your party holds travel insurance covering at minimum medical treatment and repatriation, cancellation and curtailment, and the activities on your itinerary. Adventure activities such as canyoning, climbing, diving and desert driving are commonly excluded from standard policies — check yours specifically.
Health and fitness. You must tell us before booking of any medical condition, disability, mobility limitation, allergy or dietary requirement affecting anyone in your party, so that we can tell you honestly whether the Arrangements are suitable and adapt them where possible. Jordan's principal sites involve uneven ground, steps and long walks in heat.
Conduct. You are responsible for the behaviour of your party. We, and any supplier, may decline to carry or accommodate anyone whose behaviour is dangerous, unlawful or seriously disruptive to others, without refund.
Accuracy of the names and details you give us. We pass the names, passport details and dates you supply to hotels, transport operators and the Jordanian authorities exactly as you give them. Corrections made late may attract supplier charges under clause 6.
10. Other people in your party
When you give us the personal data of anyone else — a fellow traveller's name, passport details, date of birth, dietary or medical information — you warrant and represent that they have given their explicit, informed consent for that data to be collected, used and disclosed as described in our Privacy Policy, or that you hold lawful authority to act on their behalf, including as the parent or legal guardian of a child. Where a member of your party travels with us, their continued use of the Arrangements constitutes their express consent to their personal data being processed as described.
11. Payment providers
Where payment is taken by card or through any online payment provider, that transaction is processed by an independent, regulated payment service provider and not by us. We are not liable for any error, failure, delay, interruption or security incident occurring in that provider's systems. Our obligation is limited to confirming your booking once the provider confirms to us that payment has been received. We do not receive or store your full card number.
12. Intellectual property
All right, title and interest — including all copyright, trademark, database and other intellectual property rights — in this website, its software, itineraries, route and pricing data, text, photographs, branding, logos and document formats belongs to Pan East or its licensors. You are granted a limited, personal, non-exclusive, non-transferable and revocable licence to use them solely for the purpose of planning and making your own travel with us. You may not copy, scrape, harvest, republish or use them to build or inform a competing product or service.
13. Warranties and disclaimers
We provide this website "as is" and "as available". We do not warrant that it will be uninterrupted, error-free or free of delay, and we are not liable for outages, transmission failures or the unavailability of the platforms and infrastructure it runs on. We may suspend or modify it with reasonable notice for scheduled maintenance, and immediately and without notice for emergency maintenance, a security incident or a technical issue beyond our control.
Prices, availability and content shown by the planner are generated automatically from our rate data and may contain errors. A confirmed quotation prevails over anything shown on this website.
14. Limitation of liability
To the fullest extent permitted by law, Pan East (and its directors, officers and employees) shall not be liable for any indirect, incidental or consequential loss, or for loss of profit, loss of data or business interruption, arising out of or in connection with your booking or your use of this website.
To the extent not prohibited by law, our total aggregate liability arising out of or related to these Terms or your Arrangements shall not exceed the total amount you have paid us for the booking to which the claim relates.
If any part of this section is held unenforceable, the remaining provisions remain in full force and effect.
Nothing in these Terms limits or excludes any liability that cannot be limited or excluded under applicable law, including liability for death or personal injury caused by negligence, or for fraud.
15. Indemnity
You agree to defend, indemnify and hold harmless Pan East, its directors, officers and employees against any third-party claim, demand, liability, damage, loss or reasonable legal cost arising out of or in connection with: (a) your act, omission, breach of these Terms or violation of any applicable law; (b) any infringement of third-party intellectual property or privacy rights; or (c) any personal data you supplied to us without valid authorisation, including any claim by a member of your party alleging lack of consent.
16. Complaints
If something is wrong during your trip, tell your guide, driver or our 24/7 emergency line on +962 79 553 7831 at the time, so that we have the chance to put it right while you are still in Jordan. If a matter is not resolved, write to [email protected] within 30 days of your return, setting out what happened and what you are asking for. We will acknowledge your complaint, give it a reference number and reply substantively.
17. General
Entire agreement. These Terms, your confirmed quotation and our Privacy Policy and Cancellation & Refund Policy are the whole agreement between us on their subject matter. Where your confirmed quotation and these Terms conflict, the confirmed quotation prevails on the content and price of your Arrangements; these Terms prevail on everything else.
Severability. If any provision is held invalid or unenforceable, the rest remains in effect.
No waiver. A failure to enforce any provision is not a waiver of it.
Assignment. You may not assign your booking without our written consent. We may assign these Terms on a merger, acquisition, restructuring or sale of assets.
Amendment. We may amend these Terms. The version in force when your booking is confirmed is the version that governs it.
Language. These Terms are published in English, French, German and Spanish. The English text prevails.
Governing law and jurisdiction. The laws of the Hashemite Kingdom of Jordan govern these Terms, and the Amman Court of First Instance has jurisdiction — without prejudice to any mandatory consumer-protection rights you hold under the law of your country of residence.
